Customers

The Customers section helps you manage customer information, loyalty rewards, and gift cards.
It includes three main features:
Customers: Manage customer information and view their order history.
Loyalty: Give customers points and rewards for their purchases.
Gift Cards: Create and manage prepaid gift cards.

These features can work together. For example, you can save a customer's information, track their loyalty points, and manage their gift card in one place.

1. Customer#

The Customer stores customer information such as their name, email, phone number, birthday, notes, order history, loyalty points, and gift card balance.
Customers can be added in different ways:
A cashier can add them at the POS.
A customer can provide their information during online checkout.
You can import customers in bulk during setup.
Benefits
A loyalty program helps encourage customers to return, reward regular customers, and create special promotions.

1.1 View and search for a customer#

1.
Go to Customers → Customers.
2.
You can search for a customer using their name, email, or phone number.
3.
Click a customer to view their details, including their contact information, orders, loyalty points, and gift card balance.

1.2 Add a new customer#

1.
Go to Customers → Customers.
2.
Click + New Customer.
3.
Enter the customer's First Name and Last Name.
4.
Enter their Email and Phone if available.
5.
If needed, add their Birthday and a Note.
6.
Click Save.

1.3 Add a customer to an order#

You can connect a customer to an order directly from the POS.
1.
Open the order and Search for the customer by name, phone, or email.
2.
Select the customer.
3.
The customer's loyalty points balance will be shown.

2. Loyalty Program#

The Loyalty Program lets customers earn points when they make purchases.
You decide:
How many points customers earn.
What rewards they can get.
How many points each reward costs.
Whether customers can earn extra points at certain times.
Whether points expire.
Whether customers receive a birthday reward.
Example
You could set:
Spend $1 → Earn 1 point
Then:
100 points → $5 off
Points are automatically added when a completed order has a customer attached to it.

2.1 Set up the Loyalty Program#

1.
Go to Customers → Loyalty and click New Program.
2.
Enter the program Name and set the Earn Ratio.
Example: 1 point for every $1 spent
3.
Set the number of points required for the reward. If needed, set Points Expiration.
4.
Click Create.

2.2 Redeem a Loyalty Reward at the Order#

When a customer wants to use their points:
1.
Add the customer to the order.
2.
Select Loyalty as the payment method.
3.
If they have enough points, Apply Reward will be available. and the reward is applied to the order.
4.
The required points are deducted automatically.

3. Gift Cards#

A Gift Card is a prepaid balance that a customer can use to pay for purchases.
For example: A customer has a 50 gift card and spends $15.
The remaining balance will be: $35
The customer can use the remaining balance on a future purchase.
Each gift card has: A unique code, balance and Optional expiry date
Benefits
Gift Cards can be useful for:
Selling gifts to customers.
Allowing customers to pay using prepaid credit.
Replacing a lost card.
Running special promotions.
Giving customers a gift card instead of a cash refund.

3.1 Issue a Gift Card#

1.
Go to Customers → Gift Cards and click + Issue Gift Card.
2.
Enter the Balance. If needed, set an Expiry Date.
3.
Click Submit.

The gift card code will be created.

3.2 Use a Gift Card at an Order#

When a customer wants to pay with a gift card:
1.
Go to the payment screen and select Gift Card as the payment method.
2.
Enter or scan the gift card code.
3.
Click on look up , available balance will be displayed.
4.
The system applies the gift card balance to the order automatically.

3.3 Check a Gift Card balance#

1.
Go to Customers → Gift Cards and open the gift card.
2.
Check the current balance. Now you can also view the gift card's issue and redemption history.

4. How it works together#

These three features can work together to give customers a better experience.
Example
1.
A customer provides their phone number and is added to your Customer.
2.
The customer earns Loyalty Points when they make purchases.
3.
The customer buys a $25 Gift Card for a friend.
4.
The friend uses the gift card to pay for a future order.
5.
The original customer continues earning loyalty points from their own purchases.
6.
The business can review customer spending and reward regular customers.
In simple terms
Customers → Know who your customers are.
Loyalty → Reward customers for coming back
Gift Cards → Let customers pay using prepaid value.
